Once a week a I collect invoices from my suppliers and bulk scan them all into a couple of PDF files. Your job will be to split the large PDF into one for each invoice, then enter the data on them into a spreadsheet. The deliverable for this job will be the completed spreadsheet and invoices in individual PDF files. In the attachment, you will see an example of a invoice. It's already been copied into it's own PDF. I find the easiest way to do this is to open the main PDF in Acrobat Reader, then just click the page to select it, copy, then paste into Word (use narrow margins), then save as PDF with the invoice number as the filename. Most invoices are one page, but some can be more. The invoice number will be on every page so multi-page invoices go into the same file. From there, enter the details on the invoice into the spreadsheet as follows (see attachments for examples): Contact Name Invoice Number Invoice Date - Australian date format (dd/mm/yyyy) DueDate - Some invoices will have the date written, others will specify a time period, e.g. net 7 days (7 days from invoice date) or 7 days from Sunday week ending (7 days from the Sunday of the week of the invoice date). You will need to convert this to an actual date. InventoryItemCode - Most invoices have item codes, enter that here. Leave blank if it doesn't. Description Quantity UnitAmount - Can be tricky. Most items are GST (tax) free, but some are not. The amount of GST will always be included, but it may not be part of the unit price. If it's not, you will need to add the GST component. AccountCode - I will provide these. Basically it's a description of the item, e.g. cost of goods sold, freight, packaging, etc. TaxType - One of two values: GST Free Expenses or GST on Expenses. This will be an ongoing project and will probably be 1-2 hours per week.
