Project Accountant

Scope of Position: This position that comprises staff accounting, and project accounting responsibilities is fully responsible for the project billing & reporting process, including responding to client inquiries, coordinating, and controlling subcontractors’ billing, and verifying employee’s chargeable time; in accordance with the established accounting standards and billing policy. Staff Accounting Responsibilities (Short List)  Review and processing of Employee Expense Reporting  Monthly Payroll Report for CCIP, OCIP, DCIP Projects  Monitoring and support to subcontractors with Davis Bacon Payroll Reporting  Monthly Retainage Analysis  Weekly Support for Accounts Payable Report: Knowify section and another other direct project expenses.  Monthly inventory analysis Project Accounting Responsibilities (Short List)  Organize, name and upload sub-contractors’ invoices for projects.  Working with Project Managers (PMs) to review project invoices.  Allocation of project expenses (i.e., materials, equipment rentals, direct project expenses, etc.)  Review and adjust time allocations by projects and phases as needed.  Vendor pricing verification (i.e., SW)  Assist in refunds with proof in file for credits.  Monthly Project Close Outs:  Budget vs. Actual of projects.  Inventory for jobs.  Purchase Orders  Effectively communicate with PMs and Chie Executive Officer (CEO), regarding contract documents, change orders and other contract modifications, approvals, and any additional services-related to billing.  E-mail all invoices, confirm receipt, and document invoice copies in the project billing folder(s) within our SharePoint system.  Assist PMs with soft accounts receivable follow up.  Assess and pursue opportunities for maximization of client billing; communicate with the Controller, as to your observations and actions taken.  Research any unbilled issues to optimize the billing possibilities for the billing period.  Maintain the billing folders for all projects, with all the appropriate documents, including expenses, consultant invoices, and monthly invoices, in accordance with standard procedures.  Generate and distribute bi-monthly receivables reports and monthly profitability reports.  Coordinate with Controller the write off any uncollectible receivables, labor or expenses, as directed by the CEO.  Recommend and implement agreed process improvements to the billing cycle.  Prepare special project analyses for the CEO, PMs and others.  Provide year-end support of auditor requirements, which may include research and reconcilement.  Perform additional assignments, as directed by the Controller.  Communicate and coordinate with Controller and PMs. NOTE: The position we are looking to fill requires a native spanish speaker with fluency in english.
