As discussed, telephonically, I am looking for assistance with the development of an MS Access Database Application that I fondly call (Yebo Mantake). I intend to use Yebo Mantake in the execution of my day-to-day duties at Vodacom’s Informal Markets Department (VIMD) - Northern Gauteng Region (NGA) where I am employed as a Field Service Consultant (FSC). The objective of Yebo Mantake is twofold:
1. To automate and efficiently manage the various Processes, Procedures & Tasks of my job as well as co-ordinate the vast amount of data that I work with. The current paper-based system is highly labour intensive, prone to data integrity issues and result in numerous lost and replicated documentation and in duplication of effort. Furthermore, I am not amongst the most organised people in the world and do not have the luxury of an assistant.
2. To create an Executive Dashboard that is based on my set Performance Targets, Key Performance Areas (KPA’s) and Key Performance Indicators (KPI’s) so that I will be able to monitor my performance and progress at any given point in time in real time.
The envisaged application, Yebo Mantake, should therefore be able to:
1. Record and store information on:
a. Customers – Contact & Address Info; Demarcation (District & Local Municipality); Zone (Vodacom defined); Grading (Based on Recharge Revenue)
b. Sites (Containers & Premises) – Address Info; Location (GPS Coordinates); Demarcation; Grading; Strategic Branding Opportunities; Market Penetration & Product Extension Opportunities; Maintenance & Repair Schedules, Plans & Reports; Branding Deployment Schedules, Plans & Reports; Health & Safety Audit Schedules, Plans & Reports; Call Cycle Schedules, Plans & Reports; Container Acceptance; Allocation & Deployment Schedules; Plans & Reports
c. Phones – Activity (Yes/No); Recharge Revenue (Rand Value); Grading (Recharge Revenue(See Grading Table below)); Maintenance & Repairs; Swap outs
d. Suppliers – Contact & Address Info; Products & Services; Pricing; Maintenance & Repair Quotations Purchase Orders, Receipting & Payments Electrical CoC’s; Delivery Schedules and Proof of Delivery.
e. Applications – List; Site Evaluation Schedules; Plans & Status Reports
f. New & Old Informal Market Stores in the region
g. Presence Branding Deployment & Maintenance Schedules, Plans & Reports for Informal Market Stores
h. In Store Merchandising Schedules, Plans & Reports
2. Integrate seamlessly with other MS Office & Adobe applications to
a. Generate contract documentation, which will be printed out and signed (Word, Excel, PowerPoint, Project & Adobe Acrobat Reader)
b. Allow for amendments to contracts electronically, online or remotely via a handheld device
c. Provide a flexible reporting solution in the form of
i. Configuration of e-mail templates for management reporting (Outlook)
ii. Executive Dashboards & Heat Maps for Data Visualisation (Excel)
iii. Balanced Scorecard based on clearly define KPI’s for Performance Management
3. Support Multi-Level Access, in order to Facilitate Workflow Management by
a. Providing for and enforcing electronic internal approvals
b. Providing for Worklist Administration for delegation of authority, re-assignment of tasks, etc
c. Allowing for the tracking of & audit trails for all tasks & actions performed during the various processes
d. Allowing for flagging notifications when delays in the processes are detected
4. Provide a means for
a. Gathering, storing, & sorting of Business & Marketing data
b. Statistical analysis to extract hidden patterns from data
c. Summarising & presentation the Business & Marketing Intelligence
d. Helping FSC’s & Management make better Decisions by
i. Providing historical, current, and predictive views (forecasting) of business operations
